- Account credentials: Email address and password when you create a team member account in the App.
- Phone number verification: If you verify your phone number through our App, your phone number, IP address, and device information are sent to Google Firebase to deliver an SMS verification code and prevent abuse. Google may retain this data for up to 180 days.
- Communications: The content of text messages (SMS), emails, and voicemails you send to or receive from us.
- Call recordings and transcripts: Phone calls handled through our system may be recorded and transcribed. You will be notified at the beginning of any recorded call.
- Feedback and correspondence: Any information you provide when contacting us for support or submitting feedback.
2.2 Information Collected Automatically
When you use our Website or App, we may automatically collect:
- Device information: Device type, operating system, app version, and platform (iOS or Android).
- Network information: IP address and general location derived from IP address.
- Usage data: Pages visited on our Website, features accessed in the App, and interaction patterns.
- Push notification tokens: A unique identifier assigned to your device for delivering push notifications, provided by Apple Push Notification service (APNs) or Firebase Cloud Messaging (FCM).

2.3 Information Collected Through the App (Team Members)
If you are an authorized team member using the Claudia App, we additionally collect:
- Authentication tokens: Encrypted access and refresh tokens stored in your device's secure storage (iOS Keychain or Android Keystore) to keep you signed in.
- Biometric preference: Whether you have enabled Face ID or fingerprint unlock. We do not collect, store, or transmit your actual biometric data — authentication is handled entirely by your device's operating system.
- Notification preferences: Your choices for which notification types to receive and your quiet hours settings, including timezone.
- Availability status: Whether you are available, on a call, or have paused notifications (Do Not Disturb), and when that status expires.
- Call activity: Outbound and inbound call records, including phone numbers, call duration, call direction, transfer history, and call status.
- Offline cache: The App stores a local copy of recent conversations, messages, and contacts on your device using an encrypted database so you can access them without an internet connection. This cache is deleted when you sign out.
2.4 Information from Third-Party Sources
- JobNimbus CRM: We sync contact records, job details, and job status information from JobNimbus to provide our team with up-to-date customer context.
- Twilio: We receive call metadata, call status updates, and recording files through Twilio's communications platform.
3. How We Use Your Information
3.1 Providing and Improving Our Services
- Responding to roofing inquiries and providing estimates.
- Scheduling inspections, delivering roofing services, and managing projects.
- Enabling our team to communicate with customers via phone and text message.
- Processing and managing customer relationships through our internal tools.
- Improving the reliability, performance, and features of our Website and App.
3.2 Communications
- Sending appointment reminders, project updates, and service-related notifications.

- Team member account data: Retained for the duration of employment or authorized access. Account data is deactivated upon departure and deleted within 90 days unless required for audit or legal purposes.
- Website analytics and cookies: Retained for up to 12 months.
- Crash reports and diagnostics: Retained for up to 90 days.
- Local device cache (App): Automatically deleted when a team member signs out of the App.
6. Your Rights and Choices
6.1 All Users

- Deletion: You may request that we delete your personal information. We will comply unless we are required to retain it for legal, regulatory, or legitimate business purposes (such as active warranty obligations).

6.2 App Users (Team Members)
- Notification controls: You may adjust which notifications you receive and set quiet hours within the App's Settings screen.
- Biometric unlock: You may enable or disable biometric authentication at any time in the App's Settings screen.
- Account deletion: You may request deletion of your App account and associated data by contacting your administrator or by using the account deletion option in the App. Account deletion will be processed within 30 days.
- Data portability: You may request a copy of your personal data in a portable, machine-readable format.
6.3 Utah Consumer Privacy Rights
If you are a Utah resident, you have the following rights under the Utah Consumer Privacy Act (UCPA):
- Right to know whether we are processing your personal data.
- Right to access your personal data.
- Right to delete personal data you have provided to us.

- Marketing and promotional messages are sent only with your express written consent, which you may provide through our website forms, in-person authorization, or other documented methods.

- Text messages: Reply STOP to any message to immediately opt out of all non-essential text communications. You will receive a single confirmation message and no further texts except as required to complete an active service engagement.

7.3 Message Frequency and Charges
Message frequency varies based on your interactions with us. Standard message and data rates from your carrier may apply. We are not responsible for charges from your wireless provider.

Phone calls handled through our system may be recorded for quality assurance and training. A disclosure is played at the beginning of recorded calls. If you do not wish to be recorded, you may inform the representative and the recording will be stopped, or you may contact us through an alternative channel.

While we take reasonable steps to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.
10. Children's Privacy
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will promptly delete that information.
